This policy relates to our use of personal information collected from you either in person, by letter, by email, by telephone, social media or through our website. At Balanced Body Pilates & Physio we value the importance of protecting your privacy and keeping your information secure in line with the General Data Protection Regulations (GDPR).

This policy may be updated periodically, and the latest version will be published on our website.

Personal Information

At Balanced Body Pilates and Physio, we gather information about you in order to support the treatment process. While using our service, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you. This personal information may include, but is not limited to, your email address, name, phone number, postal address or other contact information. 

If you sign up to a Pilates class, you will be asked to provide the following as part of the health screening questionnaire: 

  • Date of birth

  • Details of your medical history and background

  • Reasons for attending Pilates 

  • Occupation 

  • GP details 

  • Emergency contact details

This information may be gathered via digital form, printed form, over the telephone or via email.

Use of information 

The purpose of gathering this information is to allow your Pilates Instructor to ensure they manage your case with the relevant due care and consideration for your age, your requirements and your program.​

Balanced Body Pilates & Physio will use your information to contact you about our service, to gather feedback information so that we can improve our service and monitor the usage of our service. We may also use your email to notify you of changes to and general information about the services we offer. We will hold your personal information for as long as is necessary for the purposes set out in this Privacy Policy. 

Security of information

 The protection of your personal information is vitally important to us. We will strive to protect your Personal Information in all means reasonably required by us to do so. However, as no form of data transmission is 100% reliable we cannot guarantee its absolute security. Therefore we make no warranties as to the level of security afforded to your data. We will however always act in accordance with the relevant UK and EU legislation.

 We store personal information on secure servers that are managed by us, and occasionally hard copy files that are kept in a secure location. Personal information that we store or transmit is protected by security and access controls, including two-factor authentication, and data encryption where appropriate

Updating of information 

You have certain rights under the General Data Protection Regulation (GDPR) to access the information we hold about you. Unless we are required by law to reject your request, we can provide you with a copy of your information. A request for this information must be made in writing and processed by  Balance Body Pilates & Physio in 40 days.

We have a legal obligation to retain our client records for a period after the last point of contact. This is in accordance with CSP and HCPC professional guidelines.

We will not share or distribute your personal information to third parties unless we have your prior consent or are required by law or court order to do so.

It is your responsibility to contact us to update your details if they change. We welcome any queries, comments or requests you may have regarding this privacy policy.
